Privacy policy
This policy explains how The Picture Booth, serving the Wellington region, collects, uses and shares personal information for its website and event services.

Information we collect
The information needed depends on what you ask us to do. It can include:
- Your name, email address, contact number and messages when you make an enquiry or booking.
- Event dates, venue and room details, event type, guest count, chosen services, booking reference and payment records.
- On-site contact details, access instructions, backdrop choices, venue maps or drawings, and any social handles or event hashtags you choose to supply.
- Photographs and other content produced as part of the services booked for your event.
- Booking verification details and the recipient’s delivery address when you request photo reprints.
- Technical information received when pages and online services load, such as your IP address, browser and requested page.
Please provide only information relevant to your enquiry or event. Do not send card numbers, passwords or unrelated sensitive information in a message or uploaded file.
How we receive information
We receive information when you contact us, complete booking or event forms, use an enabled payment service, or take part in the photography services at an event. An event organiser or venue contact may also give us details needed to prepare and deliver the booking.
If you give another person’s contact details, tell them why and share our privacy policy with them.
Where we receive personal information about you from another person, we will provide the information about that collection required by the Privacy Act 2020, unless an exception applies.
Why we use your information
We use relevant information to answer questions, check availability, prepare quotes, arrange and deliver events, coordinate venue access, supply galleries and reprints, manage payments and resolve booking issues. We also use information needed for business records, security and legal obligations.
Providing information is voluntary. Fields marked required identify details needed to complete that request. If these details are missing, we may be unable to verify the booking, arrange the service, respond to you or deliver an order. Optional fields can be left blank.
Event photographs and galleries
Event photographs may identify you and other guests. We use them to provide the booked photography, prints, galleries and reprints. Other people with access to an event gallery may be able to view or download images from that event.
Our booking terms describe image use, including promotional use. Please discuss any photography or sharing restrictions with the organiser and us before the event. Contact us if an image raises a privacy concern or you want to ask about access, correction or removal.

Information needed for a booking may be handled by The Picture Booth team, Andy Barker Photography for booked photography services, and the people coordinating your event. Service providers may handle information needed for booking management, website and gallery hosting, communications, payment processing, printing or courier delivery.
The date-check tool is provided by BoothBook. Information entered there is sent to BoothBook to manage the booking. The template selector is hosted separately at boothwidget.com. Those services can receive technical information when their embedded pages load, even before a form is submitted.
When an online payment option is available, the checkout provider receives the payment details you enter. The separate Afterpay booking-payment and Stripe reprint pages show whether online checkout is available. Our website forms do not ask for your card number; do not send card details to us by email.
We may also disclose information with your authorisation or where permitted or required by law. Providers may process information outside New Zealand. Overseas handling must meet the applicable requirements of the Privacy Act 2020; using this site is not blanket permission for unrestricted overseas disclosure.
BoothBook’s privacy policySecurity and retention
We restrict access to personal information to people and service providers who need it for the relevant work, and take reasonable steps to protect it against loss, misuse and unauthorised access. Avoid including unnecessary personal information in venue maps or event notes.
Personal information is kept for the purposes for which it may lawfully be used, including booking administration, delivery, accounting and resolving issues. It should not be kept longer than those purposes require. Different requirements can apply to financial records and event photographs.
The booking terms describe digital-file storage. Please download and back up your delivered photos. Contact us to check whether older images are still available before requesting reprints; a reprint enquiry does not guarantee that a gallery has been retained.

You can ask for access to personal information we hold about you and ask us to correct information you believe is wrong, incomplete or misleading. If a requested correction is not made, you can ask for a statement of the correction sought to be attached to the information.
Use the email address in the footer for your request or concern. We may ask for information to verify your identity or authority before releasing booking or photo information. We will respond in accordance with the Privacy Act 2020.
